What’s New With iFax Web 7.23?
Using Smart Templates in New Fax Defaults
The previous iFax version launched “Smart Templates,” a new feature accessible via Settings > Preferences. These templates help eliminate repetitive tasks like uploading, filling, or signing faxes.
What are Smart Fax Templates?
Smart Templates are reusable, preconfigured fax document templates you can customize and use each time you send a new fax. Creating these templates saves you time by simplifying routine faxing and ensuring a consistent workflow.
iFax Web 7.23 brings significant improvements to how these templates work.
Now, it’s possible to set a Smart Template as a New Fax Default, making it the default option to appear whenever a user sends a new fax. From Settings, go to Preferences > Fax Defaults, then follow these steps:
- Select an existing fax default or create a new one.
- Click the dropdown option next to Content and select the template you want.
Smart Fax Templates as New Fax attachments
This release also added a new option that allows users to choose a template directly from the New Fax compose window. Even without setting a default fax, you can easily select smart templated faxes instead of attaching documents manually.
To do so, simply:
- Create a New Fax and click the Attach Document icon.
- Click Select Smart Template, choose the template you want, or use the search bar to locate specific templates quickly.
Broadcast Fax and Smart Template Integration
iFax Web 7.23 also highlights the option to include Smart Templates in a broadcast fax, bringing more tailored document customization to mass faxing.
How it works:
- Select a template when faxing to a broadcast list.
- If the field names in your Smart Template match those in your Broadcast List, the data will auto-populate into each faxed document.
Broadcast List Filters and New List Creation
This release also makes organizing broadcast lists more intuitive and streamlined with enhanced filters. Manage existing lists and quickly create new ones, reducing errors and contact information inconsistencies.
With these enhanced broadcast list filters, users can:
- Assign labels to fax numbers in a broadcast list
- Filter based on labels, etc.
- Apply filters to remove numbers or generate a new list quickly
Auto-Generate Faxes With Smart Templates and NLP
Version 7.23 of iFax further enhances online fax automation by letting users automate faxing using Smart Templates and NLP.
It works by setting up an automation to automatically populate a Smart Template fax using data extracted intelligently from an inbound fax using NLP.
Fax Template Automation Example:
Each time a hospital fax containing a patient record is received, the system automatically extracts its relevant data fields, populates that information into the Smart Template, and adds it to a new fax for forwarding to the appropriate insurance provider.
